Board Members Present: Pete Gerardi (Co-President), John Hissick (Co-President), Erin Crowley (Secretary), Drew Clarkin (Hockey Director), Sheila Reilly (Master Scheduler), and Renee Rancourt (Master Scheduler). Thank you to the parents who were able to attend.
Board Meeting minutes from the 6/21/16 meeting were approved.
The Board will continue to seek a Registrar. Another email will be sent out to the organization.
The BOD approved the list of Managers and Schedulers provided by he Head Coaches.
Whalers will hold the internal Managers and Schedulers meeting on 8/8/16, in preparation for the CHC Schedulers meeting to be held mid August. CHC Representative, Bob Walker, will attend the Whalers meeting to explain the CHC changes and the impact it will have on scheduling.
The Whalers season kickoff party is scheduled for 8/20/16 at the rink.
Coach Clarkin reported continued positive feedback regarding the skills sessions.
The Whalers will host winter invitational tournament at Champions Dates are 12/26/16-12/30/16. Whalers teams Squirts through Bantams will be included. Pete, John, Coach Clarkin, and Bob Walker will meet to discuss the details. Coach Clarkin is working on appropriate teams to invite. There will be four teams per level.
An email will be sent out reminding parents that all players need new USA Hockey numbers prior to the start of the season. Players currently participating in the skills sessions who have not secured numbers for the 2016-2017 travel season eec to do so ASAP.
Parents will be reminder to check the expiration date of their players helmet.
There is a preliminary practice schedule. Once finalized, this will be distributed to the Head Coaches, Managers, and Schedulers.
Coach Clarkin will send Board members the list of Head coaches and Assistant coaches for a vote.
Erin reported Cheshire Sports quoted the cost of track suits for coaches to be the same as the players, $114 for mid weight, and $100 for lighter weight. .
Erin created a flyer to provide to prospective sponsors. Erin will create a form for potential sponsors to fill out. Coach Clarkin suggested sending an email to the organization to to give parents the first opportunity to sponsor team if desired. The cost to sponsor a team will be $500.
It was discussed that fundraising during the season kickoff party would be limited to the potential income from apparel sales.
Sheila Reilly is heading the Wine Tasting Event at the Arrigoni Winery on 9/24/16. Details will be sent out to the organization in the coming weeks.
The Whalers accepted the opportunity to run the Hartford Wolfpack preseason game on 10/9/16 at the rink as another fundraising opportunity. There will be a bake sale and raffle opportunities. It was reported that the Wolfpack advertises the event,
Pete reported that Chilis has agreed to have their Give Back opportunity the whole week of the winter tournament.
Erin is looking into Stew Leonard's Wishing Well and getting on the waiting list for the Bruins Alumni game.
It was discussed that the 99 Restaurant in Cromwell has a local budget. Sponsorship will be sought from them.
Payment continues to be sought from families who have outstanding tuition due from the 2015-2016 season. One family has been brought to collection due to no effort to resolve debt. Another family has started to make payments toward their tuition.
Payment has been received from the CHC for the state tournament the Whalers hosted.
The Managers Meeting will be held at Thursday, 9/8/16, at 6:30 pm followed by the BOD meeting 7:30 (Thurs 9/8/16).
